Assistant Community Manager / Resident Services Coordinator

Position Overview

Elevated Career Path is building a talent network of organized, service-minded professionals for Assistant Community Manager and Resident Services Coordinator opportunities with HOA and condominium management companies throughout the NJ/NY metro area.

These roles support community managers, boards, homeowners, and vendors by keeping communication, work orders, records, meetings, compliance requests, and daily administrative processes moving. This is an excellent path for candidates who want to build a long-term career in community association management.

How You Will Make an Impact

  • Create a responsive, professional experience for homeowners and residents from the first question through final resolution.
  • Give community managers and boards accurate, current information by maintaining organized records, logs, portals, and action-item tracking.
  • Keep vendors, maintenance teams, and residents aligned by documenting work requests and following issues through completion.
  • Support consistent community operations while developing the financial, compliance, and board-relations skills needed for future advancement.

Key Responsibilities

  • Respond to homeowner and resident questions by phone, email, portal, and in person; document inquiries and route escalations appropriately.
  • Open, update, and close work orders; coordinate access and scheduling; and follow up with maintenance staff or vendors until completion.
  • Maintain association records, owner information, calendars, forms, notices, community websites, and resident portals.
  • Assist with board and committee meeting preparation, including agendas, board packages, reports, correspondence, action lists, and follow-up.
  • Track architectural applications, compliance items, violations, leases, insurance documents, vendor certificates, and other required records.
  • Support invoice processing, coding, purchase orders, deposits, account inquiries, and basic financial reporting according to established procedures.
  • Help prepare newsletters, resident alerts, welcome materials, event communications, and other community updates.
  • Conduct or support routine property inspections and document items requiring maintenance, management, or compliance follow-up.
  • Provide administrative coverage for the community manager and assist with special projects, emergencies, or busy seasonal periods.

What You Bring

  • At least one year of experience in community association management, property management, resident services, office administration, customer service, hospitality, facilities coordination, or a related field.
  • Strong organization, attention to detail, written communication, follow-through, and customer-service skills.
  • Ability to stay professional and solution-focused when handling complaints, conflicting priorities, or sensitive information.
  • Comfort learning governing documents, community procedures, work-order processes, and board expectations.
  • Proficiency with Microsoft Office, email, spreadsheets, databases, portals, and mobile technology; property-management software experience is helpful.
  • Ability to work independently while knowing when to escalate a legal, financial, safety, or resident-relations issue.
  • Reliable transportation and availability for occasional evening meetings, events, or urgent community needs when required.

Transferable Backgrounds Welcome

Direct HOA or condominium experience is valuable but may not be required for every opportunity. Candidates from multifamily housing, hospitality, customer success, office coordination, facilities administration, real estate services, municipal services, or other high-contact environments may be considered when they demonstrate strong judgment, documentation, communication, and follow-through.

Preferred Qualifications

  • Experience working with homeowners, residents, boards, vendors, work orders, invoices, or association records.
  • Knowledge of architectural requests, compliance tracking, owner portals, or association-management software.
  • CMCA credential or interest in pursuing a community-association management certification.
  • Associate or bachelor's degree in business, communications, hospitality, real estate, or a related field; equivalent experience is welcome.

Compensation & Benefits

Anticipated compensation is $45,000-$65,000 annually, or approximately $22-$31 per hour for hourly roles. Actual pay is set by the employer based on location, schedule, responsibilities, and experience. Benefits vary and may include health coverage, paid time off and holidays, a 401(k) match, mileage reimbursement, and certification support.
